Our Accommodation Officer will coordinate Twin’s homestay accommodation offering accurately within all policies as stated by all ROI and EU regulatory bodies. Recruit and manage homestay accommodation, ensuring high quality and service are always achieved. Implement systems and processes to streamline the booking procedures for both internal and external customers. Implement systems and manage a quality survey monitoring all homestay accommodations and regular reporting. To achieve a wider database throughout Ireland. Responsibilities Continual review and assessment of all homestay accommodation, including new host visits and revisits. Manage all data in one central system giving access to all interested parties. Build long-term loyal relationships with all homestay providers. Recruit new homestay providers in line with set targets. Place Twin students with homestay providers to ensure all students receive accommodation details within agreed deadlines. Deliver a timely efficient service and build excellent working relationships with all internal customers. Review and introduce all current documentation to ensure all details are clear and concise and of a professional appearance. Monitor and record all feedback regarding Homestay accommodation. Report regularly on this feedback. Introduce a loyalty and high-performance scheme. Manage and organize efficiently the transfers for students from and to their destinations. Process travel card requirements promptly, dealing with suppliers and customers efficiently. From ordering, collecting, delivering and reporting the costs. Reply to all enquiries regarding accommodation from clients and families. Dealing with telephone queries. Inform the Centre Manager and Directors of problems as they occur and record them accurately in the relevant complaints section on the system. The long-term goal is to develop a system where Homestay providers can manage their own availability and accommodation details. Attend training to develop relevant knowledge and skills. Adhere to TTI health and safety policy and other requirements relating to care of equipment and property. Flexibility to standard working hours may be necessary in peak operating periods. Out-of-office emergency cover is required on a rotational basis. Absence cover for all other members of the team Health & Safety and Welfare O pen & close the school, as agreed with other Twin personnel. Take part in the emergency phone rota as required- Additional pay is offered. Welcome students, leaders, and visitors to Twin Dublin. Advise and counsel students with non-academic problems where necessary. Adhering to all fire safety test procedures and assisting in the evacuation process in the event of a fire. Be aware of health and safety issues and check that correct standards are being maintained. Reporting any maintenance, breakage, or cleanliness problems to the management. Other Related Information As with all other staff members, the Accommodation Operations Executive is expected to work in the best interests of the school, to be punctual in arriving for work duties and to always uphold and maintain the Twin values. As with all roles and responsibilities at Twin, those of the Accommodation Operations Executive are under constant review and subject to reasonable change. Education /Qualification Graduate Demonstrable educational level commensurate with the needs and scope of the role Skills and Experience Essential Previous experience in an administrative role (essential) Experience of working to targets (essential) Experience with Excel (essential) Desirable, but not essential: Experience of working within an EFL environment (desirable) Fluency in a second language (desirable) Additional Information Salary: €30,000.00 per annum dependent on experience Location: Dublin Contract: Permanent - Full Time Hours: Monday to Friday 09:00 – 17:30 Benefits:  up to 20 days annual leave + bank holidays + Birthday Day off, per year; Long service award, an extra day’s annual leave per year completed, up to 5 additional days; 5 days paid sick leave per year; Employee referral scheme, up to €500 per successful referral; Sabbatical Leave the right to request up to 1 month’s unpaid sabbatical leave; Career development opportunities. Please Note: The successful candidate must be able to work in Ireland.
