This position will assist and support our client in all areas of Facility Management, Lobby Services, Mailroom Operations and Office Supplies management. This position will also oversee and support our onsite staff working in these areas. The position involves a high level of communication and coordination with multiple stakeholders at the client site. Responsibilities: • Provide onsite leadership to our Facilities Coordinator.• Ensure that our team is meeting service expectations in all our services that we provide to our client.• This is a working supervisor position and the Site Lead will be expected to fully learn all roles and be able to step in to provide leadership, training and coverage when needed.• Welcome guests - customers, vendors, job applicants, employees from other locations and other visitors with high degree of professionalism and courtesy.• Adhere to client's security policies and procedures• Answer phone calls and route them to the appropriate parties.• Answer emails regarding facilities and needs of the office.• Maintain a clean and organized lobby area.• Perform regular "sweeps"" of the workspace(s) to identify areas/items/equipment/materials in need of repair, replacement or upgrade. Report all issues to the office manager.• Maintain inventory sheets, order office supplies and Re-stock them throughout office buildings.• Assist in set-up and break-down of meetings, lunches, and events.• Assist with the set-up of audio/visual conferencing and also assist with internal moves.• Perform basic maintenance of kitchen area and appliances.• Complete basic cleaning tasks including taking out trash, breaking down boxes.• Complete occasional errands near office including but not limited to trips to the post office, grocery, etc.• Perform all functions in the mailroom: receive and log incoming packages and mail.• Assist leadership with interviewing and onboarding new associates to the team.• Assist leadership to provide on-spot coaching and communicate key initiatives to Associates.• Assist leadership to plan and coordinate team member schedules, lunch and floater coverage.• Help compile weekly overtime sheets for client review.• Collect monthly volume data and information from all sites and compile the Monthly Management Report. Qualifications: • Client and customer service focused with strong organizational, technology, and communication skills.• Ability to develop excellent client relations, client management, and consultation skills.• Ability to process work quickly, accurately and with changing priorities.• Minimum of two years of management experience.• Minimum 2 years of high-level customer service experience.• 1-2 years' experience in facility management and mailroom or shipping & receiving operations preferred.• Proficiency with Microsoft office applications and good communication skills.• Strong work ethic; diplomatic; team and service oriented; builds strong working relationships.• Exhibits exceptional customer service skills.• Consistently demonstrates professional demeanor, appearance and attitude.• Proven ability to remain calm under pressure; resilient.• Sound judgment and problem-solving ability.• Demonstrated ability to be flexible and adapt to an ever-changing work environment.• Assertive and resourceful; motivated; willing to ask questions and take initiative without direction.• Must have some flexibility to extend hours for some high-level events in the office.
